Privacy Policy

OSS Osaka is a small, owner-operated private tour business based in Osaka, Japan. This policy explains what personal information we collect when you contact us or book a tour, how we use it, and how we protect it. We aim to collect only what is strictly necessary to run the tour safely and well.
1. Who We Are
OSS Osaka is operated by Ryusei Maeda as a sole proprietor (個人事業主) in Osaka, Japan. For any privacy-related question, you can reach us at contact@ossjp.com.
2. Information We Collect
When you request or book a tour, we may collect:
- Contact information. your name and email address, and sometimes your phone or messaging handle (Instagram, WhatsApp) if you choose to use those channels.
- Tour details. preferred dates, number of guests, areas of interest, mobility needs, and dietary restrictions you share with us.
- Payment information. handled entirely by Stripe. We never see or store your card number. We only see the confirmation that your invoice was paid.
- On-tour photos (if we take group photos during the tour, we share them with you). We do not post photos of guests publicly without clear consent.
- Your email address, if you ask us for our free guide. This is separate from booking a tour. We record the address, the date you asked, the page you asked from, and the date you confirmed, so we can show that you opted in.
3. How We Use Your Information
We use the information you give us only to:
- Respond to your tour inquiry and build a custom itinerary.
- Send you a Stripe payment link and booking confirmation.
- Accommodate allergies, mobility needs, or other requests you have shared.
- Contact you on the day of the tour about meeting points, delays, or emergencies.
- Send photos or recommendations after the tour, if you asked for them.
- Send you our free guide, and the short series of emails that follows it, if you asked for the guide.
We do not add tour guests to any mailing list. The only way to receive email from us that is not about your own booking is to ask for the free guide yourself and then confirm it by opening the link we email you. Every one of those emails has an unsubscribe link, one click, no reason needed. We do not sell or rent your information to anyone.
4. Third-Party Services We Use
To operate this website and our booking flow, we rely on a small number of third-party services. Each of them has its own privacy policy, which we encourage you to review:
- Netlify (website hosting). Netlify may log basic server access data such as IP address and user agent, for security.
- Supabase (our database). Bookings made on this site, free walk reservations and free guide subscriptions are stored in a Supabase database hosted in Tokyo, Japan.
- PostHog (website analytics). See the next section for what this does and does not record.
- Stripe (payment processing). When you pay, your card details go directly to Stripe. We receive only the confirmation of payment.
- Google Fonts (typography). Your browser requests fonts from Google servers when loading our pages.
- Google Maps. If embedded on any part of the site, map tiles are served by Google.
- Google Workspace (Gmail). Our email correspondence is received and sent through Google Workspace.
- Instagram (Meta). If you message us on Instagram, Meta's privacy policy applies to that conversation.
- Viator, Tripadvisor, and similar OTAs. If you book through an online travel agency instead of directly, their policies govern the data they share with us.
5. Cookies & Tracking
This website uses PostHog to understand how people move through our pages, so we can see which pages are useful and which are not. It records page views, clicks, the page you arrived from, your approximate location from your IP address, and your browser and device type. It stores an identifier in your browser so that repeat visits from the same browser can be counted as one visitor. We do not run advertising trackers on this site, and we do not sell or share this data with advertisers.
If you would rather not be counted, turning on "Do Not Track" or a tracker blocker in your browser will stop it. You can also write to us and we will delete the analytics records tied to you.
6. How Long We Keep Your Information
- Email correspondence: retained in our inbox for up to 3 years so we can help with repeat or follow-up inquiries, then deleted.
- Booking records (name, date, payment confirmation): retained for 7 years as required for Japanese tax and business records, then deleted.
- On-tour photos: retained only until we have shared them with you, then removed from our devices within 3 months unless you asked us to keep them longer.
- Free guide subscriptions: kept until you unsubscribe. After you unsubscribe we keep your address on a suppression list, and nothing else, so that we never email you again by mistake.
7. Your Rights
You can at any time request:
- A copy of the personal information we hold about you.
- Correction of any information that is wrong.
- Deletion of your information, except records we are required to keep for tax or legal reasons.
- Withdrawal of consent for us to keep or share photos of you.
Send any of these requests to contact@ossjp.com and we will respond within a reasonable time, usually within 7 days.
8. International Transfers
We are based in Japan. If you are in the EU, UK, US, Australia, or another country, your information may be transferred to and processed in Japan (our database is hosted in Tokyo) and in countries where our third-party providers operate, such as the United States for Stripe, Netlify and PostHog. By contacting us or booking a tour, you agree to this transfer.
9. Children
OSS Osaka tours are booked by adults. We do not knowingly collect personal information directly from children. Information about children traveling with you (names, ages, dietary needs) is collected from their parent or guardian.
10. Changes to This Policy
We may update this Privacy Policy occasionally. When we do, we change the "Last updated" date at the top. Significant changes will be flagged to anyone who has an active booking with us.
